Transparent enquiry process

How enquiries and provider referrals work

The website collects relevant premises and contact details, reviews the apparent scope and may introduce the enquiry to a provider able to discuss it. The provider—not this information page—confirms the service, price and appointment terms.

The process

From online form to provider conversation

Different forms request different details because a useful fire risk assessment enquiry is not identical to an alarm, fire-door or compartmentation enquiry. Complete what you know and identify any deadline or immediate concern.

01

1. You submit

The form records your contact details and the premises or service information supplied.

02

2. Scope is reviewed

The enquiry is checked for location, apparent service, urgency and missing information.

03

3. A provider is considered

A provider may be selected based on service fit, area, apparent competence and availability.

04

4. Details are shared

Only information reasonably needed to respond should be sent to the selected provider or providers.

05

5. The provider contacts you

They clarify scope, availability, inspection needs, price and their own terms.

06

6. You decide

You can ask questions, compare options, proceed or decline without obligation.

Who may receive it

Connected and independent providers

An enquiry may be handled by a provider connected with the website operator or referred to an independent fire-safety business. The provider may not be one of the businesses shown on a location directory page.

We do not promise the cheapest provider or every available option. A referral reflects the information available at that time and is not a guarantee of technical suitability or future performance.

Checks before appointment

Check the person as well as the company

Competence must match the building and task. Company certification, an individual register, training, experience and insurance provide different kinds of evidence and none removes the need to check scope.

For fire risk assessment work, check both BAFE SP205 company certification and the National Fire Risk Assessors Register (NFRAR), where relevant. Confirm the individual assessor’s experience with the premises type. For installation and maintenance, check the scheme and module appropriate to that service.

  • Legal identity and contact details of the contracting provider
  • Named person who will carry out or supervise the work
  • Relevant third-party certification and current register status
  • Experience with the property type, occupancy and complexity
  • Professional indemnity and public liability insurance
  • Written scope, limitations, price, VAT position and deliverables

How the site benefits

Referral fees and commercial relationships

Fire Safety Services may receive a referral fee, lead fee, commission or another commercial benefit from work introduced through the website. A connected provider may also benefit by winning the work directly.

This commercial relationship is between the site and provider unless your quotation says otherwise. Review the provider’s total quoted price, taxes, mandatory charges and terms before agreeing.

Information sharing

What information is shared and why

The referral normally includes the contact, premises, requested service, timeframe and free-text details submitted. We aim to share only what is relevant to handling the enquiry and do not publish form submissions.

Avoid entering unnecessary medical details, passwords, payment-card information or confidential documents. Once an independent provider receives the referral, it normally acts as a separate controller for its use of your information and should provide its own privacy information.

  • Read the consent wording before submitting
  • Use functional descriptions rather than detailed medical histories
  • Ask which provider received your details
  • Withdraw before sharing where practicable by contacting us promptly
  • Contact the provider directly about its later use of the information

Questions and complaints

If the referral does not meet expectations

Tell us if you were contacted about the wrong service, by an unexpected provider or without a clear explanation. Service-quality and contractual complaints should normally be raised with the provider first because it controls the quotation and work.

You can also ask us which provider received your referral, report conduct relevant to future referrals or exercise data-protection rights through the contact page.
